Executive cars

Firms that say they offer executive cars, for business travel, formal events and journeys where you want things planned in advance.

Executive car services are pre-booked private hire journeys, usually in a higher specification saloon or similar vehicle, for business travel, client pick-ups, formal events and special occasions. As with any private hire booking, the car cannot be hailed in the street and must be booked through the firm.

What counts as executive varies from firm to firm, so ask what vehicle you will get rather than assuming. Useful questions are the make and type of car, how many passengers and bags it takes, and whether the driver wears a uniform or is happy to hold a name board at an arrival point.

Businesses often want to set up an account with a firm for regular journeys, so ask whether invoicing, a booking reference or a regular driver is available. For airport and station pick-ups, give the flight or train number so the driver can allow for delays.

Be clear about timing. For meetings and events, agree the pick-up time, the route and any waiting time in advance, and ask whether the quote covers parking, tolls and waiting. If you need to cancel or change the booking, ask what the firm's terms are before you confirm.

Whichever firm you choose, check it is licensed by the local council, and that the vehicle and driver carry the matching licences and display them as required.

The licensing rules mentioned on this page apply in England, Scotland and Wales. The rules are different in Northern Ireland.

Executive cars: common questions

What is the difference between an executive car and a normal taxi?
Both are licensed private hire. An executive car is usually a higher specification vehicle booked in advance for business or formal journeys. Firms decide what they call executive, so ask which vehicle will arrive.
Can a firm invoice my business?
Some do. Ask the firm directly whether it offers account bookings, how it invoices, and what information it needs from you, such as a purchase order number.
Should I give flight or train details?
Yes, if the journey starts at an airport or station. Giving your flight or train number lets the firm plan the pick-up, and you can ask what happens if your service runs late.
